INTRODUCTION
The UCSF Professional Development Center, located on the first sublevel (S-1) and Room 307of the UCSF Laurel Heights facility, provides accessible space for learning and meetings.

Conference rooms are equipped with a projection screen and chalkboard or dry-eraser board. Multiple seating and table configurations are available in most rooms.  Audio/visual equipment may be rented at a nominal fee from Classroom Services. 


CENTER OBJECTIVES
The UCSF Professional Develoment Center will provide: 

CONFERENCE CENTER SERVICES
The Conference Center is available Monday-Friday from 8:00am-5:00pm, except Holidays and certain UC holidays, for meetings and events held by UCSF departments, Laurel Heights building tenants, and community organizations. 


RESERVATIONS
The following groups have scheduling priority for the use of the Conference Center:

  1. University of California
  2. Community organizations and associations with University sponsorship.

Reservations are accepted on a first-come, first-serve basis. (Non-profit organizations other than University of California organizations, may use the Conference Center for non-commercial activities when co-sponsored by the UCSF Chancellor or the Chancellor’s designee (School Dean, or a Department Chairperson). The co-sponsor guarantees payment of fees incurred and for any damage to the facility.

Reservation for a University department is NOT confirmed until a completed room reservation form along with the department’s DPA and Fund numbers are provided for recharge of expenses or check is received by the Professional Development Center staff.  Non-profit organizations must have appropriate sponsorship before a reservation can be made. A qualifying UCSF sponsor (see RESERVATIONS above) must contact the Professional Development Center before a reservation is confirmed.  A 50 percent deposit of the room rental fee is required from non-University organizations, which will be fully refunded if the event is cancelled within 10 WORKING DAYS or more prior to the event date.

The Center for Health and Community coordinates 10 free uses of the room each year for academic programs for its units at Laurel Heights.  Please contact Dina Dudum Freij at 476-7692, or for more information.


FOOD AND BEVERAGES
Food and beverage may be served in the conference rooms and lobby area.  Beverages with permanent dyes (i.e., red punch, red wine, cranberry, blueberry, raspberry juices/drinks, etc.) are NOT to be served in the Conference Center.  An additional cleaning fee may be charged if areas require cleaning beyond normal end of day janitorial service, i.e. carpet cleaning, etc.

CATERERS
Groups renting the Conference Center may use a caterer of their choice.  Catering firms new to the facility are required to submit a copy of their Certificate of Liability Insurance policy to Don Diettinger, Development & Training Manager, at least 2 weeks prior to the event and must indicate the University as an additional insured in the policy.  A caterer not familiar with the Laurel Heights facility should visit the Center prior to the scheduled event.

All caterers are required to remove and pick up their equipment from the facility immediately after the event they catered has ended.
Groups that choose self-catering, and bring their own food and beverages, please be advised that a food preparation area is NOT available to the non-professional, and the group is responsible for cleanup.  The group will need to provide their own trash bags, and bag trash that overflow the trashcans provided. 

KITCHEN
A small catering kitchen is located in the Sublevel adjacent to the Lobby/Reception area and conference rooms. It is equipped with electrical outlets, refrigerator, warming ovens, coffee maker, ice machine, and a limited amount of counter space. The catering kitchen may be reserved by the renting group when scheduling an event and will be rented for the use by licensed and insured professional caterers ONLY.  All caterers are responsible for leaving the kitchen clean (i.e., wiping counters, sweeping and mopping the floor and removal of all kitchen trash) prior to leaving the premises. If this rule is not adhered to an additional cleaning fee will be applied to the renting group. 
NOTE: The Professional Development Center DOES NOT PROVIDE CATERING SERVICE. Groups wishing to have coffee or food service catered are to make their own arrangements and may use a caterer of their choice.


ALCHOLIC BEVERAGE USE
Alcohol may be served to individuals 21 years of age or over in the Conference Center.  An ALCOHOLIC BEVERAGE REQUEST form must be requested by the group and must be returned with the reservation form.  Although alcoholic beverage may be given away, it may NOT be sold at an event for any reason.  Due to the potential of carpet damage, RED WINE MAY NOT BE SERVED.  Red wine will be confiscated if served. 


PARKING & SECURITY
Fifty-nine public parking spaces are available at Laurel Heights, five of which are reserved for the handicapped. Limited public parking spaces are available on a first-come, first-serve basis at the posted rate of $3.00 per hour, $24.00 maximum per day. Alternative parking arrangements may be discussed with the Conference Center Staff.  NOTE:  Effective immediately, Parking Operations has installed a special button in the coin operated ticket machines, located in the Public Fee Lot, for the convenience of Conference Center participants to purchase parking permits at the special rate of $12.00 per day during weekdays and $5.00 per day on weekends.  Credit Cards also accepted.

NOTE: University Security personnel are on duty at Laurel Heights 24 hours a day, seven days a week. However, for large groups with unusual arrangements, additional staffing may be required. If so, an additional fee will apply to cover the cost for additional staffing.




MISCELLANEOUS

Other UC policies regarding campus activities, organizations, and students also apply at the UCSF Laurel Heights. 


ROOM 307 – COMPUTER LAB
Rooms 307 (computer classroom) is available for rent to UCSF business units. The following rental policies apply.

  1. Rooms will be used by UCSF employees to conduct university business.
  2. The priority use of our classrooms is to support Development and Training sponsored courses. Though other uses will be considered, such events may be bumped if D&T needs to offer an unanticipated course session. Although the likelihood of this occurring is small, those being bumped will be notified 48 hours in advance.
  3. The rental cost for room 307 (computer classroom) is $83.00 per full day, and $41.50 per half day.  Appropriate recharge (fund-5 digits /DPA-6 digits) information or check payable to “UC Regents” is required to secure all reservations. Mail check to Box 0834, Development and Training.
  4. All reservation requests must be made in writing via e-mail to allow return e-mail confirmation.
  5. No food and beverages are permitted in 307 (computer classroom).
  6. When your course or event is finished, it is your responsibility to leave the classroom in the condition in which you found it.
    • Equipment and materials restored to their proper places, furniture returned to the original configuration (View the Configuration Diagram), and trash and other extraneous materials disposed of in the classroom trash bin.
    • A service charge equivalent to the daily rate will be applied for any “special handling” requirements by D&T beyond the normal cleaning and handling service.
  7. Custom software installation may be accommodated through special arrangement (Click to View and Print the Request Form).

CANCELLATION POLICY
The Learning and Development staff must receive a written cancellation notice 10 WORKING DAYS or more prior to the scheduled date in order to receive a full refund.  Cancellations received between 3 - 9 days prior to the event will be charged half of the room rental fee.  Reservations cancelled 48 hours or less prior to the event will be charged the full room rental fee.
