- SMG Payroll Coordination
SMG payroll is centralized within the Office of the Associate Vice Chancellor-Administration and is handled by the SMG Payroll/Benefits Coordinator. Below is a list of provided services:- SMG Payroll Transactions –All requests for changes to payroll records must be submitted, via email, to the SMG Payroll/Benefits Coordinator who will enter, with required approval(s), the actions into the On-Line Payroll/Personnel System (OLPPS). Departments are to refrain from sending paper forms directly to Payroll for processing.
- SMG Timesheet Processing - SMG timesheets are distributed on a monthly basis to each SMG member by the SMG Payroll/Benefits Coordinator (excluding those SMG members who use HBS). Once timesheets completed, the Office of the Associate VC-Administration serves as the office of record for SMG time records (excluding those who use HBS). View a sample timesheet.
- Family and Medical Leave Act (FMLA) – For extended SMG sick leave absences, notification is to be sent to the SMG Payroll/Benefits Coordinator who will generate FMLA packages and coordinate this process. For unexpected SMG sick leave absences, notification should be sent to the SMG Payroll/Benefits on the fourth day of the absence.
- Various SMG Payroll Issues: Workers’ Compensation, Disability, Catastrophic Leave, Service Calculations (for vacation accrual purposes).
- SMG Personnel Files and Performance Appraisals
- SMG Personnel Files - The Office of the Associate Vice Chancellor-Administration serves as the office of record for SMG personnel files.
- SMG Performance Appraisals – The office of record for SMG performance appraisals is within the Office of the Associate Vice Chancellor-Administration. Performance appraisals are retained within SMG personnel files. Policy/form details:
- SMG Annual Merit/Staff Recognition/Incentive Award Processes
These processes are coordinated within Human Resources by the Senior Leadership Compensation Group Unit. Once Regental approvals are secured, implementation of payments is coordinated by the SMG Payroll/Benefits Coordinator.
- Outside Professional Activity Reporting
This process is coordinated within Human Resources by the Senior Leadership Compensation Group unit. Visit the Senior Leadership Compensation website. On a monthly basis, the SMG Payroll/Benefits Coordinator reconciles compensated outside activities against vacation usage/leave without pay on SMG timesheets and the SLCG coordinator reconciles against pre-approvals.
- Annual Statement of Economic Interests
On an annual basis, this process is coordinated within the Office of Legal Affairs and reports are submitted to the Office of the President.
- Conflict of Interest
Upon entering or leaving the SMG program, each member is required to complete a “Conflict of Interest” form. This process is coordinated through the Office of Legal Affairs. - UCSF Executive Compensation
Executive compensation review processes, for MSP 6-9 and SMG positions, are coordinated within Human Resources in the Senior Leadership Compensation Unit. For details on the executive compensation review process, refer to the Executive Compensation website.
