SHPS 2008 Deadline for Claims and Receipt Submission is June 15, 2009

The deadline to submit all claims and required documentation to SHPS for the 2008 plan year is June 15, 2009, and this deadline will not be extended. Claims not submitted or validated by the deadline will be denied.

Unsubstantiated Card Transaction Process for the Plan Year 2008:

At the end of April 2009, SHPS issued statements to those individuals with outstanding card transactions. If receipts were requested, a Validation Return Form was included and individuals were directed to return the form to SHPS along with the receipts. You may also access this information on the SHPS website. Please view the detailed information available in the “Your Statements” section. And, keep in mind that the Account Overview section on the first page does not include the specific details about what is needed.

At the end of this week, UCOP will be sending another reminder letter to employees who still have unsubstantiated claims for 2008. The letter will provide details of the transactions to include the provider’s/merchant’s name and the status of the transaction. The following status codes will be included:

R = A request for documentation has been included on the employees SHPS statement but no receipts have been received by SHPS.
D = Employee has submitted documentation but it has been denied, either because the documentation was not sufficient or because the transaction itself was not eligible.

Employees may submit alternative expenses (with appropriate receipts) to offset the unsubstantiated transactions if they no longer have the receipts for that transaction or if the documentation was not sufficient or ineligible. These expenses need to have been incurred during the 2008 plan year (1/1/08 – 3/15/09). Additionally, employees may send a check to SHPS to reimburse for any ineligible expenses.

Don’t Miss the Chancellor’s Award for Gay, Lesbian, Bisexual and/or Transgender Leadership

The presentation ceremony for the Chancellor’s Award for Gay, Lesbian, Bisexual, and/or Transgender Leadership will be held on Wednesday, June 10 from noon to 1 p.m. in N225 (School of Nursing). Chancellor Bishop will present awards to three members of the campus community. They are Jennifer A. Burnett, M.D., Assistant Clinical Professor at UCSF Fresno Department of Family and Community Medicine; Stuart Gaffney, Analyst at the Center for AIDS Prevention Studies; and Thomas Yi, a third year student in the School of Pharmacy.

Everyone is invited to attend this event and show support for these exceptional individuals. Light refreshments will be served following the ceremony.

Writing Courses & ESL Training Begin in Early June

Writing Courses Tailored to Your Needs

Back by popular demand, consultant instructor Barbara Nelson returns to UCSF in June to teach two levels of writing courses tailored to the needs of UCSF employees. Barbara Nelson has been helping business people to be better communicators for more than 20 years. She designed and conducts writing workshops for corporations, government agencies, and colleges. Many of her writing courses are geared to helping people use technology, particularly email, to communicate more effectively.

Write Right! Baseline Business Writing Skills
Learn to construct clear complete sentences, eliminate grammar errors, use punctuation marks correctly, capitalize correctly and consistently, and proofread effectively. 
June 2, 8:30 – 4:30, $35

Get to the Point! Effective Business Writing
When you write, make sure you get your point across quickly, clearly, concisely and powerfully. Eliminate wordy and unclear language which frustrates readers. Learn to determine your purpose and analyze your audience, organize and format, and write using powerful verbs and eliminating extra words and jargon.

ESL Training Offered Twice a Year

In a major effort to support staff professional development and diversity, the Medical Center and Campus have worked together to bring English as a Second Language (ESL) training to UCSF. Members of several Medical Center departments, Campus Human Resources, Campus Life Services, and Capital Projects & Facilities Management collaborated with City College of San Francisco to create a basic ESL course with content tailored to meet on-the-job needs of Medical Center and Campus employees. The initial 10-week class (June 2 - August 6) will be held twice a week, with a maximum enrollment of 40. Managers participating in the initial planning have enrolled eligible and interested employees in their units, and the class is nearly full. The goal is to offer UCSF employees this professional development opportunity multiple times each year.
