June 15, 2008 Is the Final Deadline for 2007 HCRA Claims
The final deadline to submit claims for the 2007 Health Care Reimbursement Account (HCRA) and the Dependent Care Reimbursement Account (DepCare) is June 15, 2008. Claim forms and/or receipts must be postmarked by June 15, 2008. Employees who do not submit claims by 6/15/08 will forfeit any money remaining in their 2007 account.
Employees enrolled in either plan have until June 15 to do the following:
- File reimbursement claim forms for eligible expenses incurred during the period of January 1, 2007 through March 15, 2008 using 2007 funds.
- Provide SHPS with the necessary receipts for any unvalidated spending card claims so that the expense can be verified as qualified for payment from their account.
Employees can log on to SHPS’ website http://spendingaccount.shps.com to review the status of their claims. After log-on, employees can view a summary of their transactions by plan year. Click on the “Search Claims” link in the upper left hand corner under “Spending Accounts.” Employees can also call SHPS directly at (1-800-800-678-6684, Monday – Friday, 8:00 a.m. to 8:00 p.m., Eastern Time).
Approximately 38% of all UCSF HCRA participants currently have unsubstantiated Spending Card expenses. All employees should verify their HCRA account/claim status and take appropriate action prior to the deadline.
If the employee no longer has the receipt to validate the purchase, or the card was used for ineligible expenses, the employee has two options:
- Submit receipts for other eligible purchases they made before March 15, 2008 to offset the amount overpaid by SHPS.
- Repay the amount by sending a check to SHPS for the ineligible expense.
Employees who fail to submit necessary receipts to validate their spending account card purchases by June 15, 2008 will be listed by SHPS as “overpaid.” In order to protect the tax-favored status of the HCRA plan, the University will consider the overpayment a debt and collection actions will be initiated. If the debt is not paid by the end of the current tax year, the University will add the overpayment amount to the employee’s taxable income for the year and it will be reflected on their 2007 W2 Form.
NOTE: The 2007 year-end statement and online 2007 plan year summary will not include any claims from January 1 – March 15, 2008. Employees may need to manually reconcile their accounts to ensure they have spent all their 2007 funds.

Faculty recipient: Lowell Tong, M.D.Professor, Clinical Psychiatry, Department of Psychiatry
Staff recipient: Lisabeth Castro-Smyth, Research Associate, Osher Center for Integrative Medicine
Student/resident/postdoctoral scholar recipient: Amanda Yeaton-Massey, Medical Student III, School of Medicine
Light refreshments will be served following the ceremony.
