Web-based Timekeeping System to Launch 2009-10 Fiscal Year

In 2005 the UCSF Administrative Information Systems Board (formerly the Administrative Systems Advisory Committee) approved a portfolio of projects, including the Time and Attendance Project that will impact many campus employees and departments. Work on this project began in September 2007 and has involved more than 25 department representatives in the design process. The roll out of this system is expected to take place during the 2009-10 fiscal year.

This project involves the introduction of a online timekeeping system called Huntington Business Systems (HBS), which facilitates the completion and approval of employee timesheets. The new system will standardize department timekeeping processes and will be used by all employees who earn vacation and/or sick leave. Employees who only report leave will continue to report their leave on a monthly basis and will continue to be paid monthly. Employees who record hours worked and are eligible for ancillary types of pay, such as overtime or shift differentials, will transition to a bi-weekly pay cycle. 

The HBS Timekeeping project website provides initiative details and current communications. Training will be provided closer to the go-live timeframe.

Chancellor’s Award for Gay, Lesbian, Bisexual, and/or Transgender Leadership

Nominations are being accepted for the Chancellor’s Award for Gay, Lesbian, Bisexual, and/or Transgender (GLBT) Leadership. This award recognizes contributions to the advancement of the GLBT communities at UCSF. The nomination form, award criteria, and a list of prior recipients are available online. Three individuals—one faculty/academic, one staff, and one student/resident/postdoctoral scholar—will be selected to receive this award at a special ceremony on Wednesday, June 10, 2009. Individuals who meet one or more of the award criteria—whether or not they are gay, lesbian, bisexual, or transgender—are eligible to be nominated.

Take the time to nominate the outstanding individuals with whom you are associated who meet these criteria. Nominations must be returned by 5 p.m. on Monday, March 23, 2009 to the GLBT Leadership Award Committee, c/o Robin McCartney, either electronically via , hard copy to Box 0402, or facsimile at 476-9634.

Free Tax Preparation for Eligible Employees

SF Works, a program of the San Francisco Chamber of Commerce, is offering to help employees with annual household incomes of $45,000 or less get free tax preparation help from IRS-certified tax preparers. Visit http://www.earnitkeepitsaveit.org/ to find a site near you.

Improve Your Health – Take a 2009 Health Assessment

It’s not too late to get off to a healthy start in 2009. Complete a new health assessment; they are free and confidential. Depending on your health plan, you will have the following options.

StayWell
Faculty, staff and their spouses or domestic partners enrolled in a non-Kaiser medical plan are eligible to complete the StayWell health assessment and participate in wellness coaching. The 2009 incentive is a $100 gift card for faculty and staff and a $50 gift card for spouses/domestic partners. To be eligible for the incentive:

New for 2009: CUE members and their eligible spouses/domestic partners will be eligible to participate in StayWell (if enrolled in a non-Kaiser medical plan) effective March 2, 2009. The period during which they can receive the incentive for completing the health assessment is March 2, 2009 – June 10, 2009. These newly eligible members will be receiving introductory information in the mail from StayWell.

Kaiser
Kaiser has extended the deadline for UC Kaiser members and their enrolled family members (aged 18 and older) to complete a health assessment through Kaiser’s HealthWorks program and qualify for a prize drawing. If the eligible member did not complete the health assessment in 2008, they have until April 15, 2009 to complete the assessment and be eligible for the prize drawing which includes a $500 gift certificate or an iPod. Members who completed the assessment in 2008 are still encouraged to complete a 2009 assessment and participate in Kaiser’s integrated wellness program.

Please pass this on to your colleagues, circulate invitations, post the actual scheduled workshops happening near your location, or otherwise re-broadcast these weekly reminders about our valuable (FREE) education programs for faculty and staff.  Bring your lunch; your questions; your spouse/partner.
